Position Description:
The Administrative Assistant handles routine and advanced administrative duties for other professionals.
They manage calendars to schedule appointments, prepare invoices, coordinate travel and generate itineraries, organize files, create correspondence, prepare reports and documents, and offer general staff support.
They coordinate meeting setup and implementation.
They interact with people from a wide variety of levels, from office and shop employees to customers to executive management.
This position is primarily based in the Racine, Wisconsin office, but will have some remote work capability depending on office needs.

Responsibilities:
The core duties and responsibilities of an Administrative Assistant revolve around supporting others.
Their job duties can vary widely, not just from job to job, but from day to day at the same job.
On any given day, they may perform a variety of tasks, such as:
Assist leaders with calendar, organization, travel, expenses, and hosting meetings.
Manage accounts and perform bookkeeping, submitting invoices, setting up vendors and creating and tracking departmental purchase order balances.
Prepare communications, such as memos, emails, invoices, reports and other correspondence.
Author and edit documents including presentations, letters, reports and instructional documents.
Create and maintain filing systems, both electronic and physical.
Manage conference room availability and prioritize conflicting space needs.
Provide daily support to corporate fleet and rental programs.
Oversee workspace requirements for new hires and employees relocating within the facility.
Provide support as needed during campus renovations.
Assist employees relocating to the U.
S.
by securing housing, vehicles and travel arrangements.

Qualifications:
Experience in customer service role or industry is required.
Three or more years of similar administrative experience is preferred.

An Administrative Assistant must collaborate with other administrators and support personnel, management and customers on a regular basis.
Writing:
Spelling, punctuation, sentence structure and writing are essential to an Administrative Assistant, who must be proficient in a variety of styles, from creative to professional to technical to education and more.
Education Requirements:
High school diploma or GED is required.
Some college or a college degree is preferred.
Travel:
Minimal local day travel may be required.
